Rapidly growing invoicing

The new offices reveal their ambitions. “We are the renovation leaders in the region, with 4 people in the offices and around 15 people on the sites.” Teamleader came at a good time. “Previously we did everything in Excel, but we had no overview of our invoicing process. No unpaid invoice total, no quick link to the quotations created etc. The system's been running for just under a year, and we'll soon be working with post-calculations and profit calculations.” Niek concurs, “Getting it up and running went really smoothly, of course, you have to be open-minded and inquisitive. We put the 2014 financial year into it to get used to working with it. The graphs immediately gave us a clear overview.”

Clear work structure

Meanwhile, the quotation module is working well. Thomas notes, “Good graphic formatting is vital. Our logo creates uniformity and recognisability, while the prices are carefully explained in plain language. That ensures a personal, trusted impression, exactly as we are in real life.” Niek adds, “That fits into our work structure, which has been set up so that the workload can be increased tenfold. And so that Thomas can continue if I'm suddenly no longer available.” The VDS brothers believe in structured simplicity. Niek points out, “That means immediate processing of the measurements and the request for quotation, keeping the file up-to-date, carrying out the site work with the accompanying agendas and payments etc.”

Ongoing coordination

“Our working days start early,” says Thomas. “Every morning we calmly make up our invoices and verify the payments. Teamleader is absolutely the best system, user-friendly and it saves a lot of time.” Niek agrees, “It's almost become our journal. At the end of the day, our people pass on their hours and materials to us. The invoices are amended in a single action and we can see whether there's been any additional work.” A question of trust. “With a bunch of clients we were already doing work on the basis of an hourly rate rather than larger flat fees.

Mobile up to date  

Automatic payment reminders are not yet a matter for discussion. Thomas notes, “A phone call is enough. The client does receive an automatic mail when he pays, that's good for clarity.” Niek adds, “I even follow the payments via my mobile, yes, even when travelling (he smiles).” Thomas chips in, “Both our wives are pregnant. Combining our business with being dads will mean that we'll be working away from the office more.” From within the system, that appeals to them. “We're going to link the 0800 line to the system, so that we can phone and record from within the browser.” Niek & Thomas, brothers in progress. “We're only using Teamleader for 20 to 30%, but we stand behind it 300%.”
